The Child’s Place and Multiple Intelligence International School respects your child’s right to privacy and the confidentiality of his/her personal information. We aim to fully comply with the Data Privacy Act of 2012 and other applicable laws on data privacy protection and security. Rest assured that personal data entrusted to us will not be used and disclosed in a manner not specified in this Data Privacy Policy (the “Policy”).
Pursuant to the Data Privacy Act, this Policy explains (1) what personal information or data are gathered; (2) the purpose of information gathering; (3) how we gather and store information; (4) who we share such information with; (5) the period for which the information will be stored; (6) data protection and handling of data breaches; and (7) your child’s rights with regard to personal information.
Information we gather
“Personal information or data “ refers to any information, whether recorded in a material form or not, from which the identity of an individual is apparent or can be reasonably and directly ascertained by the entity holding the information or when put together with other information would directly and certainly identify an individual.
The personal information we generally collect includes, but is not limited to, name, address, and other contact details, age, date of birth, gender, nationality, occupation, family background and history, previous schools attended, academic and disciplinary records, and medical history.
During the course of your child’s enrollment, we will gather information on his/her academic undertakings, classes enrolled in, grades, attendance record, medical record, etc. Information on other matters, such as outreach activities, study tours, and extracurricular activities (e.g. membership in student organizations, leadership positions and participation, and attendance in seminars, competitions, and programs) are likewise collected.
We will also collect information in connection with any disciplinary matter that your child may be involved in. There will be instances when we will acquire other forms of data (e.g., pictures or videos of activities he/she participates in, recordings from closed-circuit television cameras installed in the school premises for security purposes, etc.) or generate statistical information (e.g. academic ranking, performance in admissions exams, aptitude tests, etc.). Online class recordings and student submissions in the learning management system will also be collected for documentation purposes.
Information received by us without our request will be disposed of unless they are relevant to any of our legitimate educational interests. If it is related to our legitimate educational interests, it will be treated with the same level of privacy as the information you provide us.
Purpose of Information Gathered
We use your child’s personal information to pursue our purposes as an educational institution, such as, but not limited to the following:
- evaluating applications for admission to Child’s Place / Multiple Intelligence International School;
- processing confirmation of incoming or transfer students preparatory to enrollment;
- recording, generating, and maintaining student records of academic, co-curricular and extracurricular activities;
- recording, storing, and evaluating student work products, such as assignments, quizzes, exams, research papers, presentations, etc ;
- recording, generating, and maintaining records of class attendance and participation in academic, co-curricular, and extra-curricular activities;
- establishing and maintaining student information systems;
- investigating incidents relating to student behavior and disciplinary matters;
- maintaining directories and alumni records;
- compiling and generating reports for statistical and research purposes;
- providing services such as counseling, information technology, library, sports/recreation, transportation, campus mobility, safety, and security;
- managing and controlling access to campus facilities and equipment;
- communicating official school announcements;
- sharing marketing and promotional materials regarding school-related functions, events, projects, and activities such as school bazaars and the like; and
- soliciting your child’s participation in research and non-commercial surveys.
Should we intend to use your child’s personal information for reasons other than pursuing our purposes as an educational institution, we will obtain your written consent for that specific purpose unless you yourself request us to use, process, and share your information for such other purpose.
How we gather and store information
We gather, acquire or generate personal information in various forms, including but not limited to written records, photographic and video images, digital or on-line material, or biometric records which we may ask you to provide to us. Personal data is stored and transmitted securely in a variety of paper and electronic formats, including databases that can be accessed and used by Child’s Place and M.I School personnel who have a legitimate interest in it for the purpose of carrying out their duties.
Who do we share information with
We might share or disclose your child’s information to others in some instances as may be permitted to pursue our purposes as an educational institution or as required by law. These instances include but are not limited to the following:
- posting of class lists and class schedules within the campus;
- providing other schools, upon their request, with academic information or a certificate of good moral character for purposes of admission;
- publishing the list of graduates and awardees during commencement exercises;
- reporting and/or disclosing information to the National Privacy Commission, the Department of Education, and other government bodies or agencies as required by law;
- sharing information for accreditation and ranking purposes (e.g., Council of International Schools);
- complying with court orders, subpoenas, and/or other legal obligations;
- conducting research or surveys for purposes of institutional development;
- publishing academic, co-curricular, and extra-curricular awards and achievements, including honors lists and names of awardees in school bulletin boards, websites, social media sites, and publications;
- sharing your child’s academic accomplishments or honors and co-curricular or extracurricular achievements with schools he/she graduated from or was previously enrolled in, upon their request;
- marketing or advertising to promote the school, including its activities and events, through photos, videos, brochures, website posting, newspaper advertisements, physical and electronic bulletin boards, and other media;
- live-streaming of Child’s Place / Multiple Intelligence International School events;
- publishing communications with journalistic content, such as news information in Child’s Place or Multiple Intelligence International School publications and social media sites, and
- sharing of information to other persons as required by law or on a need-to-know basis as determined by the school whenever necessary to promote your child’s best interests or protect his/her health, safety, and security, or that of others.
Data Protection and Handling of Data Breaches
We take all reasonable steps to ensure that all personal data gathered, used, or disclosed are accurate, complete, and up-to-date. We will strictly enforce this Privacy Policy and have implemented technological, organizational, and physical security measures to protect personal information from loss, misuse, unauthorized or accidental access or disclosure, alteration, or destruction. We have put in effect these safeguards:
- Limited access to the school’s data server room. Only authorized personnel are allowed to access the said room.
- Limited support personnel access
- Secured Firewall and Antivirus
- Secured hotspot network.
- Secured network resources.
- Password encryption
- User activity logging
- User access permissions
- Login failure delay to prevent robot software from automated login attempts
- Data integrity measures
Any data security incident or breach that comes to the knowledge of Child’s Place / Multiple Intelligence International School will be recorded and reported as required by law. We will take all necessary and reasonable steps to address such an incident or breach and mitigate any negative effect of such an incident or breach. If there is strong suspicion that an incident compromises your child’s personal information, we will notify you of such incidents in an appropriate manner.
Your rights with respect to your child’s information
As provided by the Data Privacy Act, you have the right to object to the processing of your child’s personal information. You also have the right to access his/her personal information and/or have it corrected, erased, or blocked on reasonable grounds. You can also avail of the various remedies laid down under the Data Privacy Law.
